Payment and Refund Policy
Last updated: 23 September 2026
Scope of the Policy and the Products or Services It Covers
This Payment and Refund Policy applies to all transactions conducted through publiscoxa for services related to professional video operation, live signal management, content distribution, camera work, and the creation of reliable high-quality feeds for news programs and television broadcasting. It covers bookings for training courses, live event support packages, signal management subscriptions, and custom content distribution agreements. The policy governs payments made by customers located in the United Kingdom and explains how refunds are handled when services cannot be delivered or when customers exercise their statutory rights.
Prices, Currencies, Taxes, and Any Additional Charges
All prices displayed on the site are in British Pounds Sterling (GBP) and include value added tax at the prevailing UK rate unless otherwise stated. Additional charges may apply for expedited service delivery, extended broadcast hours, or specialised equipment rental. Customers will be informed of any such charges before finalising their booking. Currency conversion fees charged by banks or payment providers are the responsibility of the customer and are not included in the displayed price.
Accepted Payment Methods, Payment Authorisation, and Payment Security
We accept major credit and debit cards, bank transfers, and approved digital wallets. Payment authorisation occurs at the time of booking and may involve a pre-authorisation hold. All transactions are processed through secure payment gateways that comply with UK data protection standards. publiscoxa does not store card details. In the event of a declined payment, the booking will not be confirmed until a valid payment is received.
Order, Booking, or Service Confirmation and When a Contract Is Formed
A contract is formed when we send a written confirmation email following receipt of full payment or a valid purchase order. This confirmation outlines the specific services booked, dates, and total cost. Until this email is received, no binding agreement exists. Customers should retain the confirmation for their records as it serves as proof of the contract.
Cancellation Rights and Applicable Cancellation Periods
Under the Consumer Contracts Regulations 2013, customers have a 14-day cooling-off period from the date of booking confirmation during which they may cancel without penalty, provided the service has not begun. For live broadcast services scheduled within this period, cancellation may still be possible but subject to pro-rata charges for any preparatory work already undertaken. Services that have commenced are generally non-cancellable except in cases of our material breach.
Refund Eligibility, Exclusions, and Non-Refundable Items or Services
Refunds are available for cancellations within the cooling-off period, for services not delivered due to our fault, or where required by law. Non-refundable items include custom camera setups already configured, pre-paid satellite time, and any digital course materials downloaded or accessed. Promotional or discounted packages may carry stricter refund conditions clearly stated at the time of purchase.
The Step-by-Step Procedure and Information Required to Request a Refund
To request a refund, contact us in writing via the form on our Contacts page or by email to [email protected]. Provide your booking reference, full name, contact details, and a clear statement of the reason for the request. Include any supporting evidence such as screenshots of service failures. Requests must be submitted within 30 days of the original booking or service date, whichever is later.
Inspection, Approval, Rejection, and Notification of the Refund Decision
Upon receipt of a refund request, our team will review the details within 10 working days. We may request additional information if the submission is incomplete. You will receive written notification of approval or rejection, including reasons for any refusal. Approved refunds will proceed to processing while rejected requests may be appealed once with further evidence.
Refund Method, Processing Time, and When Funds Should Reach the Customer
Refunds are issued to the original payment method. Processing typically takes 5 to 10 working days after approval, though bank transfer refunds may require up to 14 days to appear in your account. We will notify you once the refund has been issued. Chargeback fees or currency conversion losses are not reimbursed.
Special Rules for Digital Content, Subscriptions, Services, or Promotional Offers Where Relevant
Digital course materials and subscription-based signal feeds are non-refundable once accessed or downloaded. Subscription cancellations take effect at the end of the current billing cycle. Promotional offers are subject to the same cooling-off rules but refunds may be calculated on the discounted price rather than the standard rate.
Failed Payments, Duplicate Charges, Chargebacks, and Suspected Fraud
Failed payments must be resolved within 48 hours to maintain the booking. Duplicate charges will be investigated and refunded automatically upon verification. Chargebacks are treated as disputes and may result in service suspension pending resolution. Suspected fraudulent activity will be reported to the relevant authorities and may lead to immediate account termination without refund.
Mandatory Consumer Rights in the Target Country That the Policy Cannot Exclude
This policy does not affect your statutory rights under the Consumer Rights Act 2015 and the Consumer Contracts Regulations 2013. These include the right to receive services with reasonable care and skill, the right to a refund for services not provided as described, and the 14-day cooling-off period for distance contracts. Nothing in this policy excludes liability for death, personal injury caused by negligence, or fraud.
Contact Route, Policy Changes, and Last-Updated Date
For questions about this policy or to make a refund request, please use the contact form on our Contacts page or email [email protected]. We may update this policy from time to time. Changes will be posted on this page with a new last-updated date. Continued use of the site after changes constitutes acceptance of the revised terms.
